This Privacy Policy explains how SecondSyt (“we”, “us”, “our”), operated by Michael Cohen, Eastleach, Gloucestershire, collects, uses and protects your personal data. We take your privacy seriously and are committed to being transparent about how we handle information.

1. Who we are

SecondSyt is a sole trader business operated by Michael Cohen, based in Eastleach, Gloucestershire. We are the data controller for personal data collected through this website and in connection with our services.

2. What data we collect and why

Contact enquiries

When you submit the contact form on this website, we collect your name, email address, phone number (if provided), the service you are enquiring about, and any message you write. We use this to respond to your enquiry. The legal basis is legitimate interest (responding to a business enquiry you have initiated).

Service delivery

When we provide services to you, we may keep records of what has been installed, any relevant technical notes, and correspondence related to your installation. We use this to deliver and support the service. The legal basis is the performance of a contract.

Welfare monitoring services

Where we install a home monitoring system to support the welfare of an elderly or vulnerable person, the system collects data about activity patterns within the home (such as door sensor triggers, room presence, and other indicators of daily activity). This data is processed locally within the home on a Home Assistant device. It is not stored by SecondSyt on external servers. Remote access for maintenance purposes is provided via a Nabu Casa encrypted tunnel — this acts as a secure pipe and does not mean activity data is stored or processed externally.

Where an Amazon Alexa device is used for local voice prompts (in our current trial setup), voice interactions may be processed by Amazon’s cloud services. We aim to move production deployments to a fully local voice solution. We will always inform customers of the technologies in use at their property.

The monitored person’s consent to this arrangement is essential and we will always ensure this is obtained before installation.

Website analytics

We use Google Analytics 4 to understand how visitors use our website. This service uses cookies to collect anonymised data about pages visited, time spent on site, and how visitors arrived. This data is processed by Google and may be transferred to Google’s servers in the United States. Google Analytics data does not identify you personally.

Analytics cookies are only placed after you have given your consent via the cookie banner shown when you first visit the site. You can withdraw consent at any time using the Preferences option in the cookie banner.

4. Third-party services and data processors

In delivering our services, we rely on a number of third-party platforms. Where these process personal data, they are acting as data processors on our behalf or as independent data controllers. Key third parties include:

  • Tapo by TP-Link — where Tapo cameras or sensors are connected to TP-Link’s cloud service, data may be processed by TP-Link. TP-Link Privacy Policy
  • Ring (Amazon) — where a Ring doorbell is installed and connected to Ring’s service, data is processed by Amazon. Ring Privacy Policy
  • Tado — where Tado smart radiator valves are used, data about heating schedules and usage may be processed by Tado. Tado Privacy Policy
  • Octopus Energy — where we assist with smart energy tariff setup, energy usage data is processed by Octopus Energy. Octopus Energy Privacy Policy
  • Amazon Alexa — where Alexa devices are used for voice prompts in monitoring setups, voice interactions are processed by Amazon. Amazon Privacy Policy
  • Webfort / WordPress — our website is hosted by Webfort. Standard server logs (IP addresses, access times) are maintained by the hosting provider.
  • Meta (Facebook) — we maintain a business presence on Facebook. Any data you share by visiting or interacting with our Facebook page is subject to Meta’s privacy policy. We do not embed Facebook content on this website. Meta Privacy Policy

5. How long we keep your data

We keep enquiry data for as long as is necessary to respond to and follow up your enquiry, and typically no longer than 2 years if no service relationship results. Service records relating to installations are kept for as long as we are providing support for that installation, plus a reasonable period thereafter for warranty and reference purposes. We will delete your data on request.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data (the “right to be forgotten”)
  • Object to or restrict how we process your data
  • Withdraw consent where consent is the legal basis for processing
  • Complain to the Information Commissioner’s Office (ICO) if you believe we have not handled your data correctly

We take reasonable steps to protect your personal data from unauthorised access, loss or misuse. Our website uses HTTPS encryption. We do not store payment card details. Local monitoring systems use encrypted remote access.

We may update this policy from time to time. The current version will always be on this page, with the date it was last updated shown at the top.
